2026.05.21 CASE Committee Packet Materials 970-748-4072 cvanwinkle@avon.org TO: CASE Committee FROM: Chelsea Van Winkle, Senior Special Events Coordinator RE: Staff Update DATE: May 15, 2026 SUMMARY: This report provides updates and activity related to the (1) CASE Committee Members (2) Yarn and Fiber Bombing Art Installations (3) Egg Hunt Post Event Debrief (4) Special Events Calendar (5) FreeFall Bluegrass Festival and (6) Summer Food Truck Program. STAFF UPDATE: 1. CASE COMMITTEE MEMBERS: On April 28, 2026, Town Council appointed four members to the CASE Committee to serve two-year terms. Please welcome Erica Baldwin to the committee, along with returning members Thomas Walsh, Chuq Yang, and Pedro Campos. Resolution No. 25-08 and the CASE Committee Ambassador Responsibilities are provided as ATTACHMENTS A and B for review. 2. CASE COMMITTEE CHAIR & VICE CHAIR: Justin Chesney and Pedro Campos were voted in as Chair and Vice Chair in 2025 and have both expressed interest in continuing in their roles for another year. As the CASE Committee is not required to hold elections annually, they will remain in their respective positions unless a committee member objects. Justin Chesney is recommended to continue as Chair and Pedro Campos is recommended to continue as Vice Chair CURRENT ACTIVITY & PLANNING: 1. YARN AND FIBER BOMBING: The Town of Avon will launch a new Yarn and Fiber Art Installation in summer 2026, introducing temporary, fiber-based public art throughout the Main Street Mall. From June 1–5, select sculptures and trees will be transformed with hand-crafted yarn, textile, and mixed-fiber installations designed to bring color, creativity, and a sense of play to public spaces. Following an open Call for Art to Eagle County artists, six artists were selected to participate: Natalie Thompson, Christopher Vaughan, Michelle Duprey, Tierra Stansbury, Maria White, and Nancy Glass. Their work incorporates knitting, crochet, hand-dyed textiles, and recycled materials, reflecting Avon’s commitment to supporting local artists and creating accessible, community-driven public art experiences. 2. EGG HUNT POST EVENT BRIEF: This year’s Egg Hunt was a successful and well-loved community event. Held on Saturday, April 4, from 10:00 a.m. to 12:00 p.m., the event welcomed more than 800 guests. The Post-Event Brief is provided as ATTACHMENT C. 3. SPECIAL EVENT CALENDAR AND SYNOPSIS: Event season is here and starting in May, events will take place every week through the end of August. The summer season recently kicked off with Town Clean-Up Week, and the Sustainability Fair and we will have our first SunsetLIVE! concert on Sunday, May 24th. The 2026 Event Synopsis is provided as ATTACHMENT D for review. 4. FREEFALL BLUEGRASS FESTIVAL UDPATE: The FreeFall Bluegrass Festival is gaining strong momentum, with excellent traction across sponsorships, marketing coverage, and ticket sales. The 970-748-4072 cvanwinkle@avon.org festival producer plans to announce the full band lineup prior to Memorial Day. At that time, Early Bird ticket pricing will conclude, and single-day tickets will go on sale. 5. SUMMER FOOD TRUCK PROGRAM: The Summer 2026 Food Truck Program will operate from May 22 through September 27, offering approved food trucks the opportunity to vend on Town-owned property at designated locations. Staff received three applications from Eagle County food purveyors and, due to infrastructure limitations at Lake Street, selected one vendor to operate from the Recreation Center west parking lot where adequate power is available. This year’s vendor will be Ceviche LLC who is a new food truck operator in the valley serving Ceviche, Peruvian Chicken and more. The program continues to evolve based on vendor interest, community response, and operational needs, with minor updates made to the application and regulations to support a successful 2026 season. Operations & Logistics: • Barricade fencing set the night before saved a lot of time on Saturday morning. • Public Works staff were very efficient with set up, even in the snow. • Moved Resort Kids inflatables to the pavers in front of the stage to keep them off the snowy ground. • Kaleidoscope set up speakers in front of the stage rather than around the Egg Hunt arena which worked well and aligned with the event footprint. • Lots of snow on the field but did not plow it which worked better than last year. Functioned Well: • Having the inflatables and speakers on the pavers worked well to keep everything dry. • The Egg Hunts went smoothly, with about 10 minutes in between each round. • Seven volunteers were the perfect number for this event. o Four worked the egg hunt area, two at the jellybean/coloring contest, and one stayed with the emcee to help answer questions from guests. • All of the activities were popular throughout the entire event. Vendors were busy and there were lines at the balloon and face painting booths. • There were approximately 12,000 eggs and all of them were picked up by participants. • Load-in went smoothly with vendors and everyone arrived on time. • Addition of the large coloring mural for kids was a great activity. • The return of Avon Bunny was popular with guests. There was a long line for photos throughout the event. Security, Medical, & Emergency Response: • N/A Sanitation & Resource Recovery: • Blue Monster provided 4 standard, 1 ADA, and 1 handwashing station for the event. Delivered on Friday, April 3 and picked up on Monday, April 6. • Walking Mountains had two staff on-site to manage Cerobins and Plastic egg recycling. Two staff worked well, consider reducing quote for next year from 3 to 2. o Kept Plastic Eggs to use for a recycled art project. Transportation & Parking: • No road closures this year. Portions of Old Town Hall lot were reopened from construction, so patrons were able to park in this lot. Page 3 Areas for Improvement/Adjustment: •Needed labeling on the GIS map and a “legend” so staff could see where to place tables and chairs. •It was hard to hear the emcee and speakers inside the Egg Hunt arena – look at different placement for 2027. •Announced prizes earlier but kids were still participating in the activities and only two winners were still onsite. Figure out abetter way to get people prizes. Residents, families, businesses, and community groups are invited to help give Avon a spring refresh. Each May, Avon hosts a Clean Up Week that involves cleaning up landscaping and trash from residents’ properties. In addition, this year, we’re asking everyone to come together and clean up our neighborhoods during this week-long event. Registered Town Clean Up volunteers will help beautify public spaces, including roadways, trails, and landscaped areas, ensuring our town remains a beautiful place to live and visit. Vail Lacrosse Tournament Date: Tuesday, June 16 – Thursday, June 18 Time: 8:00 a.m. – 6:00 p.m. Known as the highest altitude tournament in the country, the Vail Lacrosse Tournament is a family-friendly competition, drawing nearly 2,000 players and 3,000 spectators to the Vail Valley! Triple Bypass Date: Saturday, July 11 Time: 11:00am – 7:00pm The Triple Bypass is recognized as one of the premier cycling events in the United States. It travels 120 miles from Evergreen to Avon, CO. Enjoy the beautiful scenery of the Rocky Mountains on your bike. The ride is 120 miles from Evergreen (Bergen Park) over Juniper Pass (11,140 ft.), Loveland Pass (11,990 ft.), Swan Mountain and Vail Pass (10,560 ft.), concluding in Avon. The competition in Avon is their annual Mountain Event and is also part of the Colorado Cup championship series. Vail Valley Soccer Tournament Date: Saturday, October 3 & Sunday, October 4 Time: 8:00 a.m. – 6:00 p.m. At this competitive youth soccer tournament, teams meet opponents from all over Colorado and some surrounding states to vie for the championship medal in their age bracket. Over 80 teams traveled to the Vail Valley in October 2010 to appreciate the picturesque setting of this annual soccer tournament. New to Avon in 2026, FreeFall Bluegrass Festival finds its new home, where live music, mountain scenery, and community come together alongside Nottingham Lake and beneath the fall foliage of Beaver Creek. Throughout the weekend, festivalgoers are invited to enjoy high-energy performances from top-tier bluegrass artists, set against one of Colorado’s most scenic backdrops. Crisp mountain air, vibrant fall colors, and a welcoming community atmosphere create the perfect setting for a three-day celebration of music and the season. Avon Turkey Trot Date: Thursday, November 26 Time: 8:30 a.m. – 11:00 a.m. The annual Avon Turkey Trot is back, and the Town of Avon is excited to host this fun and healthy community event in Harry A. Nottingham Park on Thanksgiving! Choose between a 2K or 5K Run/Walk, with costumes highly encouraged to add to the festive spirit! The 2k race will cost $10 per person and the 5k race will cost $20 per person. Children 5 years old and under race for free! Prices will increase by $5 for day of registration. Participants can pre-register at AvonRec.org through the SmartRec software online registration portal.
