CASE Committee Meeting Packet Materials 2021.09.23 970-748-4065 ddempsey@avon.org TO: CASE Committee FROM: Danita Dempsey, CASE Manager RE: Staff Update DATE: September 21, 2021 OPENING COMMENTS: A very full event season providing a vibrant calendar of events which supported the community and tourism; elevated the Avon brand and exposure; and allowed Avon to remain competitive amount our peer communities. SUMMARY: We just completed our event season on September 16th and therefore, have not had copious amounts of time to provide a high level written post-event recap and/or budget analysis. With that said, we will provide a PowerPoint summary for review and discussion with the caveat that final numbers on both expense and revenue are not yet fully vetted and completed. Additionally, we will review the proposed 2022 calendar and proposed budget; and, request advice / thoughts on a few specific events as outlined below. CURRENT / PLANNING ACTIVITY: 2022 calendar and proposed budget is more or less the same as 2021. 1. January in July: Approximate proposed expense $77,000 a. Discussion: Is the financial expense impactful in terms of what is delivered to the community for (1) a full production (22-23 minutes) and/or (2) a smaller production (10-12 minutes)? 2. AvonLIVE!: Currently in the 2022 proposed budget with an increase of $30,000. a. Discussion: Increased $20,000 to fund talent with more name recognition; and, $10,000 to support higher quality light and sound package to support more recognizable bands. 3. Circus Colorado: Currently not in the 2022 proposed budget; historically funded at $35,000 a. Discussion: Explore an alternative site in Avon or elsewhere in the Valley? 4. Dancing in the Park: Currently in the 2022 proposed budget for one(1) event; historically funded at $30,000 per event. a. Discussion: Do we want to consider two (2) events at $30,000 each? b. First proposed event date is Thursday, August 11th and second proposed event date is Tuesday, August 2nd. 5. Art festivals in Avon and Weekly Expo: CCM Events, Howard Alan Events and Colorado Events. a. Which event producers are returning, proposed dates and general discussion on approach? 6. Summer’s End: Labor Day Weekend was busy for Avon and in our neighboring communities! a. Discussion: In general, I recommend continuing with activity line up of Lakeside Cinema, Paddle Battles and would like to discuss (1) art festival and (2) concert on Monday. 7. Concessions: In general, I am not comfortable providing final net revenue numbers with 100% accuracy, however, below is an estimate of gross revenue for each event or series: a. AvonLIVE! – Gross Revenue = $16,865 b. SunsetLIVE! – Gross Revenue = $5,890 970-748-4065 ddempsey@avon.org i. Discussion: My recommendation is to not sell at alcohol at SunsetLIVE! and instead be open container. Thoughts? c. Salute to the USA - Gross Revenue = $28,424 d.
