And provides a status update on the (1) 2022 Budget Amendment, (2) Art Around Avon program, (3) Post Event Brief on Egg Hunt and Ultimate Après Avon, and (4) Special Events Calendar. In addition to this Staff Update Report, I will provide a PowerPoint presentation outlining our anticipated number of event days, overall budgeted net expense and each individual event budget. STAFF UPDATE: 1. 2022 Budget Amendment April 10th: Net increase of $47,184 with the most impactful increases from the following: a. Art Around Avon program expansion = $19,000 b. Rate increases in portable restroom and handwashing stations = $9,255 c. Parking lot rental from Beaver Creek Resort Company = $4,400 d. Rate increases for professional hires security vendor = $10,122 Table 1 below shows the event by event Approved 2022 Budget Expense: 2. Art Around Avon – There were 40 complete applications pieces by 19 of artists. Through the Jury process 19 sculptures were selected for installation created by 11 different artists. Benchmark Road. Two (2) of the Hoffman Commercial Properties and all the locations on W. Benchmark Road will not receive art this year. Attachment A provides details on the selected pieces, their size, installation locations and pictures of each piece. Deinstall of the existing nine (9) sculptures and install of the 19 new sculptures will begin on May 23rd and end on June 9th. The Art Around Avon Walk will be held on Friday, June 10th beginning with the Artist Reception from 5:00 to 6:00 p.m. and end with an open to the public self-guided tour at 6:00 p.m. The Jury Panel consisted of the following thirteen (13) individuals who spent many hours jurying the works between March 29th and April 28th, 2022. a. Thomas Walsh – CASE Committee Member i. Justin Hildreth – Town Engineer – returning panelist j. Jenna Skinner – Community Development Department Planner II k. Representative from Hoffman Commercial Properties – Doug Jimenez l. Danita Dempsey – CASE Manager 3. Storm Drain Education & Historical Markers – Both projects will be installed very soon! 4. Avon’s Egg Hunt: The event was held on Saturday, April 16th between 10:00 a.m. and 12:00 p.m. and attracted approximately 1,000 guests. Total event budget was $15,575 and total spend was approximately $11,370 for a projected savings of $3,904.74. The Post Event Brief is attached and provided as Attachment B. 5. Ultimate Après Avon: The inaugural event was produced by Radiate Live Events and held on Saturday, April 16th between 2:00 p.m. and 7:00 p.m. The Town provided $10,000 in cash funding and up to $3,000 of in-kind services. At the time of this report, Staff has not received the final written Post Event Brief however we may have it by the time of the CASE Committee Meeting. Radiate Live is comfortable with stating there were approximately 300 tickets sold and an additional 150 were provided to vendors, breweries or otherwise comped. a. Unlimited Taster ticket day-of = $45 6. 2022 Special Event Calendar: Below is an update to the Special Events Calendar. Attachment C provides the detailed calendar of events. a. XTERRA Festival – As reported by the Vail Daily on Tuesday, March 15th paper, Staff had been working with XTERRA Global to expand the event activation in Nottingham Park during the first ever USA Championship to be held in Nottingham Park and Beaver Creek on Saturday, July 16th. This is an amazing opportunity to further show case Avon as the perfect venue to host athletic events. The Town is providing up to $4,500 of in-kind support. The activation includes (1) offering registration and packet pickup on Friday, July 15th at the Terrace (2) tent space at Friday’s Lakeside Cinema to promote the activities on Saturday, July 16th (3) awards ceremony, live music featuring Trout Steak Revival , food vendors and kids’ activities on Saturday (4) the addition of another SunsetSUP Race on Saturday in collaboration with XTERRA Global and SUP CO. Launching SunsetSUP on July 16th presents the perfect opportunity to gain exposure through XTERRA’s brand reach and producing two SunsetSUP Races leverages Paddle Battles in September and a “true” SunsetSUP Race series in 2023. b. Avon Arts Celebration – CCM Events is the producer of this event, and he has offered Avon a second weekend. Therefore, we would host Avon Arts Celebration on July 22 – 24 and July 29 – 31, 2022. As you might recall, we did not renew event dates/agreements with two art festival producers who provided programming in 2021. This is a great opportunity to continue our momentum with Avon’s art programming and establishing Avon an “art community”. We will support him with in-kind and minimal cash specifically for marketing efforts. c. Possibilities in Avon Weekly Art Expo - Discussions with the Westin for space to host this weekly event on their outdoor terrace did not yield the desired results. Therefore, this event will not continue this year. d. Dancing in the Park – The Vail Dance Festival is in the process of developing all programming content for this year’s festival and tentatively offered Avon the programming listed below. Neither one of these are final yet however, both are good fits and bring a nice diverse offering. I am glad that VVF is bringing a different group although I do enjoy BalletX they have performed at Dancing in the Park for many years. i. Dance Aspen (https://www.danceaspen.org/): “This company is the re-birth of the Aspen Santa Fe Ballet which unfortunately disbanded over the pandemic. Many of the dancers in Dance Aspen were in the Aspen Santa Fe Ballet before the pandemic, and they are incredible contemporary dance artists (we are planning to present them in their own show at the VPAC as well as feature them on other evenings throughout the festival).” 970-748-4065 ddempsey@avon.org ii. “One group that we’re really excited to share with the audience in Avon is a group called Ephrat Asherie Dance (https://www.ephratasheriedance.com/) – they are a NYC-based dance company rooted in African American and Latinx street and social dances. We will be presenting a full-length program from this company at the VPAC during the Festival as well.” e. Man of the Cliff – 10th Mountain Management is the third-party event producer and due to conflicts with the Great American Beer Festival has requested a date change to Saturday and Sunday, October 15th and 16th, 2022. The Town has accommodated this request. CURRENT ACTIVITY & PLANNING: Staff is full steam ahead and deep in the planning phase! Staff is meeting with the Eagle River Fire Department Chief on Tuesday this week to discuss the current and forecasted wildfire potential and drought conditions as it relates to our ability to launch fireworks during Salute to the USA. Despite snow earlier in the week, the field melted, and we had no snow BRIEF EVENT DESCRIPTION The Egg Hunt returns to Harry A. Nottingham Park in Avon promising a fun-filled morning on Saturday, April 16th. Families are invited to participate in a coloring contest, jellybean guessing game, exhilarating inflatable features, a petting zoo and more! But that's not all...10,000 eggs will be filled with candy and small prizes. Permit ☒ No STAFF OBSERVATI0NS/RECOMMENDATIONS Egg Hunt ran very smoothly, was well attended by community, no negative guest or vendor feedback and everyone had fun! Functioned Well: •Volunteer and staffing numbers worked well, had the perfect amount of people to help with everything that was needed. •Layout of the field was nice and kept people spread-out while still feeling intimate. •All kids’ activities were well received, plenty of inflatables. •Jellybean and coloring contests were well executed, and families were called after to pick up their prizes. Kids and parents were so excited to hear they had won, such a great way to give back and put a smile on a kids face. Loved the prizes and wrapping from Wishes. •The Hunt is On Signage was so cute and people loved it. •Entrances and exits on both ends worked well and provided a safer experience for both kids and parents. •Table clothes for the activities table presented a more professional appearance. •Egg stuffing with volunteers was a good team building experience. Areas for Improvement/Adjustment: •Water station was not needed or used. •3 & Under area was too small, expand for next year. •More eggs for ages 3 & under – create “rules” asking 3 & Under parents/kids to find 1 egg in each color so everyone has an opportunity for eggs. •Expand the Egg Hunt Area to roughly 120 x 60/80 with the kids prep area being about 15ft. •Less kids in the second round for each age group, put out more eggs for the first round. •Add additional face painters and/or balloon artists, lines were very long. •Petting zoo arrived late but was a hit, make sure to have them come a little earlier. •Need a larger obstacle course type inflatable for older kids. •Need to bring in additional balloon artist and face painters. •Move The Hunt is On sign closer to the Egg Hunt Arena. •Consider fewer portable restrooms. •Consider two Special Event staff members instead of three. Operations & Logistics: Attachment B Page 2 • Public Works set barricades out and prepped tents on Friday which helped a ton for set up early on Saturday morning. Production & Talent: • Kaleidoscope provided 4 speakers and audio engineer; it was enough to fill the space and not be overpowering. Security, Medical, & Emergency Response: • N/A Sanitation & Resource Recovery: • Blue Monster provided 8-standard and 2-ADA portlets and 2 H/W stations which was plenty. • Walking Mountains provided two support staff, set up and tore down of 4 ZH stations. Diversion Rate of 64.68% Marketing, Promotions & Communications: • Spent $1,750 on advertising to include Vail Daily print ads in English and Spanish; AMT Radio spots; 75 event posters, social posts through Town of Avon Facebook, Instagram and Avon.org and Discoveravon.org. Transportation & Parking: • A Special Event Advisory Impact Notice was released for Ultimate Après Avon anticipating traffic and/or parking issues however, we did experience any negative feedback. • The use of public transportation is encouraged as well as walking or riding a bike to the park on all events. • Free on street parking is available, including on West Beaver Creek Boulevard and W. Benchmark Road, as well as at the Avon Elementary School Parking Lots. Staffing: • Event Staff = Danita (6:45am), Chelsea (6:45am) and Emily (9am) • 12 volunteers were schedule and 8 showed up however, it was the perfect number for the activities and Egg Hunt Arena. • Public Works Staff (4), very helpful in setting up barricade fencing, portable restrooms, and tents. Not needed for distributing eggs. Vendors: • Resort Kids: Provided the kids craft station, petting zoo and inflatables. Statement from vendor, “Nothing but positive feedback! I think the crafts are always a great addition to every event. I noticed that the kids who were hesitant to bounce were excited to hear about the craft tent that was available to them. We went through most everything we had ordered for crafts and my attendant said she was busy the entire time.” • Slippery Slope Productions: Provided one balloon sculptor, two face painters, and one “Avon Bunny” with handler.
