RE: Staff Update, Current Activity & Planning
DATE: May 18, 2020
AVON SPECIAL EVENTS UPDATE: There have been many events locally and regionally which have
been rescheduled and/or cancelled in recent weeks. The attached Exhibit A – Avon Events Calendar,
provides an update on Avon events as of this week. In summary, the events which have been cancelled or
rescheduled are:
1. Cancellations:
a. Egg Hunt
b. Salute to the USA
c. Pose & Paddle Battle
d. Vail Valley BrewFest in Avon
e. Dancing in the Park
f. Flynn Creek Circus
g. Summer’s End Party
2. Rescheduled:
a. Vail Lacrosse Tournament – moved from June 16-18 to July 27-29; requesting open dates
into September
b. Possibilities in Avon: Weekly Art Expo – move to mid-August through early September
c. Avon Arts Celebration – moved from July 24-26 to September 11-13
Additionally, XTERRA hopes to take place in mid-July and believes they can follow Public Health Order
(“PHO”) accordingly however, the decision regarding allowing / permitting XTERRA needs to be made in
partnership with Beaver Creek Resort Company since they host the finish which has many more attendees
than the swim start. We have had one status call, and another planned for May 22nd.
We are proceeding with AvonLIVE! beginning in mid-June through the end of August. Staff is working on
several small community focused activations (“UN-Events”) to include but not limited to the following:
1. SunsetLIVE! - Considering adding back into the calendar as we anticipate a manageable crowd
size which complies with PHO, uncomplicated execution and low cost. This would be a 10-12-week
series on Sunday’s in late afternoon.
2. Lakeside Cinema and/or Drive In Movies
a. Lakeside Cinema - Family friendly movies in Nottingham Park from the stage featuring a
26’ inflatable movie screen, professional sound system and current releases, classics
and/or animation films. Free to the public on up to eight Friday nights beginning July 10 th
through August 28th.
b. Drive In Movies – Staff has been in touch with Beaver Creek Resort Company regarding
use of Elk or Bear Lots for Drive In Movie series. BCRC is taking idea to their Board of
Directors to determine interest.
3. Virtual Scavenger Hunt – Goal is to offer community an activity that they can do virtually and at
their leisure within a certain time frame such as by June 15th. The Town would offer prizes to
Page 2 of 2
individuals and/or teams who answer all trivia questions, perform random tasks (such as peddle
boat across the lake) or take photos at iconic Avon locations. The details and execution of the
Virtual Scavenger Hunt are still being developed with the goal of activating in June or early July.
Also, both Vail Dance Festival and Bravo! Music Festival have reached out regarding the desire to work
together on a smaller activation this summer. Staff will provide updates as needed.
Other ideas include Storytelling, Poetry Slam, Silent Disco, Fall Auto Show, P ick-n-Paddle, Zombie Fun
Run, etc. Staff welcomes any ideas on small community-focused activations for this summer or
early fall; please email me directly if you have ideas to share.
REGIONAL SPECIAL EVENTS UPDATE: Staff has been tracking special events in our peer communities;
Exhibit B provides a snapshot of some of these communities and the event adjustments.
CURRENT ACTIVITY: At the April 16th CASE Committee meeting, Staff presented the Draft Outline of
Overview, Goals & Idea’s; subsequently, an unofficial “sub-committee” was formed to help advance the
working document and more importantly, the temporary short-term (30-90 days) projects. The sub-
committee met on April 23rd and identified several temporary art installations and micro-activations which
are appropriate. The intent of which is to (1) bring hope and healing to our community during difficult times;
and, (2) create vibrant community connections during a time when large gathers are not possible. These
installations and activations are detailed in the attached Exhibits C and D.
Additionally, the sub-committee classified permanent short-term and long-term art installations detailed on
the attached Exhibits E and F.
Staff requests the CASE Committee review the material presented in the attached Exhibits so that any
questions or concerns can be addressed in the April 21st CASE Committee meeting.
CULTURAL PLAN REVIEW: We began Committee review of the preliminary Draft Outline Cultural Arts
Plan during the April meeting, we will pick up where we left off which is on page nine – see Attachment A.
Staff will need input from the Committee on the concepts outlined in the Draft Outline. After which, the sub-
committee will work on the next iteration of the document and continue filling in the details.
Thank you, Danita

the Carrie Fell mural along Lettuce Shed Lane, the Playhouse and
Benches temporary art installation projects, beautification of four electrical
boxes around Town, the preservation of the Water Wheel along the
shores of the Eagle River; and, a funding mechanism and process to
attract and retain single and multi-day events and/or event producers.
