STATEMENT OF DIRECTIVE / PROBLEM / PROCEDURE
Overview: This will be an Old Case Conversion. The files provided by Avon will be transformed into the format
required for an Old Case conversion.
Assumptions: Avon will be available to answer questions promptly.
Associations between files will be party name + dob and also docket # (case number). Any associations that do
not map correctly, or any data that is invalid, in the source files maybe dropped.
Parties:
All information that is in the source files provided by Avon that can be mapped to the Old Case Conversion
format will be converted.
Old Case History UI:
The docket number will be displayed in the Case Number field.
The case role will be set to 'Defendant'.
The comment field will include the following:
all case comment information for the same case will be in one comment field.
the fine amount and the paid amount for the case.
Other: Per Old Case Conversion, court cases will not be created.
JSI will not provide error reporting on invalid data or associations resulting from the source files provided by
Avon. However, where we can provided feedback we will.
It is possible to set up, train and go -live on FCE without a data conversion, and then perform the old case index
data conversion from the Sleuth system at a later date. Note, however, that the Old Case Index data conversion
will create party records in FCE as they exist in the Sleuth system. If the data conversion is performed after go-
live, parties from the Sleuth system will not be matched against any parties or cases added to FCE by the court
after go -live.
Also note that regardless of when the data conversion is performed, if the court needs to receipt money on a
case that exists in Sleuth, the court will need to create the case in FCE (i.e., all financial information, even on old
Sleuth cases, must be maintained in FCE to maintain an accurate GL).
Post go -live conversion is scheduled for late Q1 2017.
